This policy explains what personal information Excel With Mark collects when you use excelwithmark.co.uk, buy a template or get in touch, why we collect it, and your rights under UK data protection law (the UK GDPR and the Data Protection Act 2018).
1. Who we are
Excel With Mark is the trading name of Mark Willows, a sole trader, based in the United Kingdom. Mark Willows is the “controller” of your personal information. Contact: hello@excelwithmark.co.uk.
2. What we collect
When you buy a template: your name, email address, billing address, phone number (optional), what you bought, the price and the date. Payments are handled by Stripe — we never see or store your full card details.
When you contact us or request a quote: your name, email address and whatever you tell us in your message (for example project type and budget).
When you create an account: your login details and order history, so you can re-download your templates.
When you browse the site: technical information such as your IP address, browser and the pages you visit, which our web host and security tools record in server logs to keep the site running and secure (see also section 7 on cookies).
3. Why we use it and our legal basis
- To process your order and deliver your downloads — necessary to perform our contract with you.
- To keep business and tax records — required by law (HMRC).
- To reply to enquiries and quotes — our legitimate interest in responding to you, or steps you asked us to take before a contract.
- To keep the site secure, prevent fraud — our legitimate interests.
- To send you news or offers — only if you have opted in. You can unsubscribe at any time.
4. Who we share it with
We never sell your information. We share it only with the service providers we need to run the business, who may only use it to provide their service to us:
- Stripe — card, Apple Pay, Google Pay and Link payments and fraud prevention.
- Klarna or Amazon Pay — only if you choose to pay with them.
- Automattic (WooCommerce, Jetpack and WordPress.com) — shop features and site security.
- Our website hosting provider — stores the website and its database.
- Our email provider — sends order confirmations and replies.
- Google — fonts used on the site, and YouTube if you play an embedded video.
- Our accountant and HMRC — where needed for tax and accounting.
Some of these providers are based in, or process data in, the United States. Where that happens, the transfer is protected by UK adequacy regulations (including the UK–US data bridge) or by approved contract terms.
5. How long we keep it
- Order and payment records: 6 years after the end of the tax year they relate to, as required for tax purposes.
- Your customer account: until you ask us to delete it (order records are still kept as above).
- Enquiries and quotes that do not lead to work: up to 2 years.
6. Your rights
You have the right to ask for a copy of your information, to have it corrected or deleted, to restrict or object to how we use it, to receive it in a portable format, and to withdraw consent at any time where we rely on consent. To use any of these rights, email hello@excelwithmark.co.uk. We will reply within one month.
7. Cookies
Cookies are small files stored on your device. We only use essential cookies, which do not need your consent:
- Essential cookies — keep your basket and checkout working, keep you logged in, and help Stripe prevent fraud. The site cannot work properly without these.
We do not use advertising or analytics cookies. You can block or delete cookies in your browser settings, but parts of the shop may stop working.
8. Keeping your information safe
The site uses HTTPS encryption, payments are processed by Stripe to PCI-DSS standards, and access to customer information is limited to Mark Willows.
9. Complaints
If you are unhappy with how we have handled your information, please contact us first at hello@excelwithmark.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO): ico.org.uk/make-a-complaint or 0303 123 1113.
10. Changes to this policy
We may update this policy from time to time. The latest version will always be on this page.
